The reservation will become binding after receival of the (entire) down payment. Your reservation will expire without further notice when the payment is not received by the due date.
The Hopman Verniel Lodge can be used exclusively by registered Scouting organizations for scouting activities.
All payments because of a reservation of the HV lodge should be paid from a bank account in the name of the Scouting organization. Payments from a private account will not be accepted and the reservation will be cancelled.
Down payment and deposit
The down payment is the administration fee and about 50% of the expected night fees (with tourist tax) and of the rent for the HV lodge. In case of a reservation made 16 months of more in advance at least 1/5 part of the down payment should be paid promptly. The remainder must be paid 16 months before the start of the camp.
The deposit for the Hopman Verniel Lodge should be paid together with the (second) down payment.
The amounts to be paid for the (first and second) down payment and the deposit for the HV Lodge are stated in the reservation confirmation sent by e-mail, to which these conditions are attached.
The payment has to be transferred to bank account NL 62 INGB 0002 3071 16 (BIC INGBNL2A) in name of (Stichting) Scout Centrum Zeeland, mentioning the reservation number. Any bank fees will be deducted from the transferred amount. In case of instalments the reservation will be cancelled if the last part is not paid in time.
The part according to the cancellation conditions remains due when the down payment has not been paid yet
Cancellation conditions
Part of the down payment will not be refunded, depending on the number of days till the start of your stay and the kind of stay (in the HV lodge or camping in tents).
- The threshold amount (€25 or the deposit if it is less than €25) at 270 days or more (HV lodge) or 150 days or more (camping),
- 25%, with the threshold amount as a minimum, at 210 - 269 (HV lodge) or 120 - 149 days or more (camping),
- 50%, with the threshold amount as a minimum, at 150 - 209 (HV lodge) or 90 - 119 days or more (camping),
- 75%, with the threshold amount as a minimum, at 90 - 149 (HV lodge) or 60 - 89 days or more (camping),
- 100% at less than 90 days (HV lodge) or less than 60 days (camping).
A proportional part of the down payment will be refunded when the cancelled site is let later to another group.
The part of the tourist tax in the down payment and the deposit for the HV lodge will be always fully refunded.
The administration fee will not be refunded.
In exceptional cases, a reservation can be moved on request instead of cancelled. Then the amount that would not be refunded in case of cancellation becomes the new threshold amount for the moved reservation.
Arrival
About 1 week before arrival the expected time of arrival is to be communicated to the warden in charge by phone (or text message / WhatsApp): +31 628 516 802) or by e-mail to beheer@scoutcentrumzeeland.nl.
At arrival one should report oneself to the warden and a list of participants is handed over, which is obligatory as night register.

80% Rule
If, due to less persons and/or a shorter stay, the costs for the actual number of camping nights (based on the total of the filled-in participants list or the number of nights times the number of persons) are less than 80% of the amount based on the numbers in the reservation, this will be charged as the minimum amount to be paid.
For a stay in the Hopman Verniel Lodge, instead of the 80% rule, the rent is charged at least for the number of reserved nights and the night fees for at least the number of reserved night times 15 = the minimum number of persons per night for the lodge.
Changes in the number of nights and/or persons can be made one-time until to 120 days before the start of the camp. If the decrease is more than 20% of the reserved nights (= nights times persons), then the cancellation conditions will be applied to the part of the decrease.
Prices
The prevailing prices are given on the print of the reservation. If they have not been set yet for that year, than those of the previous or current year will be used for the time being. We reserve then the right to adjust prices in future years. The prices are including the prevailing VAT, and are adjusted upon tax changes.
The price for the tourist tax is based on the prices that are (still to be) set by the municipalities of Veere and Middelburg. The tourist tax is always charged for the actual number of nights (= nights times persons) and is applicable for all.
The accommodation fees are charged over the entire period, so also in case of interim temporary absence when the field and/or house remains in use. Less persons at the start or end of the camp are only taken into account if this is included in the reservation.
The day fee applies to visitors and participants of activities who do not stay overnight.
Per night is a period of 24 hours maximum; the day fee is charged extra for persons in case of a prolonged stay.
For day-time use of the HV lodge for 1 day the rent of 1 night applies to the rent and the day fee to the persons.
In case of prolonged use of the HV Lodge, 1 day/night rent is charged extra when up to 2 nights and for 3 nights or more ½ day rent extra.
Tents and boats are included in the accommodation fee.
Settlement
The down payment will be deducted from the settlement at the end of the camp. The deposit for the Hopman Verniel Lodge is later reimbursed separately by bank.
The user commits him/herself to compensate immediately any damage to the site and the HV lodge (including losses).
The amount to be paid for the settlement should be paid during the camp, preferably by debit card payment on our terminal and otherwise in cash in EUR (€). Credit cards and cheques are not accepted. For a later settlement, which has not been agreed in advance, an additional administration fee of EUR 10 will be charged.
